The WhatsApp Business API, explained simply
What it is, what it costs, how templates and the 24-hour window work, how to avoid getting your number restricted, and exactly what you need to get started.
What is the WhatsApp Business API?
The WhatsApp Business API — officially the WhatsApp Business Platform — is Meta’s way for medium and large businesses to use WhatsApp at scale. Unlike the WhatsApp Business app, there is no phone app: you connect your number to software like Wapify, and your whole team uses it from a browser.
It lets you reply to customers from a shared inbox, send notifications and offers to thousands of opted-in customers, run chatbots that answer 24×7, and connect WhatsApp to your CRM, website, store or app.

Pricing and the 24-hour customer service window
Meta charges per message, based on the message’s category and the customer’s country. The charge is billed by Meta to the payment method on your WhatsApp Business Account — separate from your Wapify plan.
Marketing
PaidOffers, announcements, product launches, re-engagement. Charged per delivered message.
Utility
Paid / free in windowUpdates on something the customer asked for — order, delivery, booking, payment. Charged per message, but free inside an open customer service window.
Authentication
PaidOne-time passwords and login codes. Charged per delivered message at a lower rate.
Service
FreeFree-form replies to a customer who messaged you, within 24 hours of their last message.
How the 24-hour window works
When a customer messages you, a 24-hour window opens. Inside it you can send any reply — text, media, buttons — for free. Each new customer message resets the 24 hours. Once it closes, you can only message that customer with an approved template.
Meta updates its rates and rules from time to time; the current rate card is on Meta’s developer website.
Message templates
A template is a message format you create once and Meta approves — usually within minutes, sometimes up to a day. You need a template to start a conversation, to message a customer after the 24-hour window, and for every campaign.
- Header — Optional text, image, video or document
- Body — The main text, with variables like {{1}} for name or order number
- Footer — Optional short line, like “Reply STOP to opt out”
- Buttons — Quick replies, visit website or call phone number
Tips for approval: pick the right category, give sample values for every variable, avoid all-caps and misleading text, and don’t start or end the body with a variable.
What you can send
Text
Plain messages with emoji, links and formatting.
Media
Images, videos, audio, voice notes, documents and stickers.
Location
Share a pin or receive the customer’s location.
Reply buttons
Up to 3 quick-reply buttons the customer taps instead of typing.
List messages
A menu of up to 10 options — great for bots and support.
Call-to-action buttons
Visit website or call phone number buttons in templates.
Template messages
Approved formats with variables, headers, footers and buttons.
Voice calls
Customers can call your business number on WhatsApp, and you can call them back with permission.
Messaging limits and quality rating
Meta limits how many different customers you can start conversations with in a rolling 24 hours. Replies to customers who messaged you first don’t count. New accounts start with a small limit; it increases automatically in steps (for example 1,000 → 10,000 → 100,000 → unlimited) as you keep sending to more customers with a good quality rating and complete business verification.
Quality depends on how customers react: blocks and reports lower it. Our team monitors the quality rating of every number on Wapify, so we can help you slow down or fix templates before Meta restricts your number.
Green tick and business verification
Business verification in Meta Business Manager proves your business is real (using documents such as GST certificate, incorporation certificate or utility bill). It unlocks higher messaging limits and is required for the verified badge.
The verified badge (green/blue tick) is given by Meta to authentic, notable businesses — usually brands with press coverage and an active presence. It is not guaranteed; Meta decides. You can request it once your business is verified and your display name is approved.
What you need to get started
- A phone number that can receive an SMS or voice call for the OTP, and is not active on the WhatsApp app
- A Facebook account to log in to Meta’s Embedded Signup
- A Meta business portfolio (you can create one during signup)
- Your business name, website and address
- A display name that matches your business
- A payment method on your WhatsApp Business Account for Meta’s message charges
- Business verification in Meta Business Manager — optional at first, needed for higher limits and the green tick
With Wapify, you sign up, click Connect WhatsApp, log in with Facebook, choose your business, verify your number with an OTP — and you’re live. Our team can help if you get stuck.
Rules to keep your number safe
- Message only customers who opted in — on your website, checkout, form or in a WhatsApp chat
- Make it easy to stop: honour STOP and opt-out requests (we stop campaigns to them automatically)
- Keep templates useful and expected — avoid sending too many promotions
- Follow the WhatsApp Business and Commerce policies (no restricted goods or services)
- Watch your quality rating and slow down campaigns if it turns yellow
Frequently asked questions
What is the difference between the WhatsApp Business app and the WhatsApp Business API?+
The app is for one phone and a few devices. The API (WhatsApp Business Platform) has no app — you use it through software like ours, so many agents can reply at once, you can send campaigns to thousands, run chatbots and connect your CRM.
Can I use the number that is already on my WhatsApp app?+
A number registered on the API cannot be used on the normal WhatsApp or WhatsApp Business app at the same time. Most businesses use a new number, or delete the WhatsApp account on the existing number first and then connect it.
Do I need a Facebook / Meta Business account?+
Yes. During signup you log in with Facebook and choose or create a Meta business portfolio. The WhatsApp Business Account (WABA) is created inside it and stays in your name.
Who pays Meta’s message charges?+
Meta charges marketing, utility and authentication messages directly to the payment method on your WhatsApp Business Account. Our plan price covers the software. Replies inside the 24-hour customer service window are free.
What is the 24-hour customer service window?+
When a customer messages you, you can reply with any message for 24 hours. After that you can only start the conversation again with an approved template.
How do I get the green tick?+
The blue/green verified badge (Meta Verified or Official Business Account) is granted by Meta to notable, verified businesses. Business verification in Meta Business Manager is the first step; we can guide you through the request.
How many messages can I send in a day?+
Meta sets a messaging limit on how many customers you can start conversations with in 24 hours. New numbers start low and the limit rises automatically as you send good-quality messages and complete business verification.
Will my number get banned?+
Numbers are restricted when customers block or report them. Message only people who opted in, keep templates useful, and avoid sending too many promotions. Our team monitors every number’s quality rating and helps you act early.
Is there a free trial?+
Yes — every new workspace gets a free trial of the Starter plan. No card is needed to start.
