WhatsApp Business App vs WhatsApp Business API: which one does your business need?

The free app is great for a single shop owner. Once several people reply, you send offers to hundreds of customers or want a chatbot, the API is the right tool. Here is the difference.

Most Indian businesses start with the free WhatsApp Business app on one phone. It works well until the business grows: more chats than one person can answer, staff sharing one phone, broadcast lists capped at 256 people, and no way to connect WhatsApp to your website or billing software.

The WhatsApp Business Platform (usually called the WhatsApp Business API) is Meta’s product for exactly this stage. It has no phone app of its own — you use it through a platform such as Wapify.

The key differences

Here is how the two compare on the things that matter day to day:

  • Team access: the app works on one phone plus a few linked devices; the API gives every team member their own login in a shared inbox.
  • Broadcasts: the app’s broadcast lists only reach people who saved your number; the API sends approved template messages to any opted-in customer, thousands at a time.
  • Automation: the app has a greeting and away message; the API supports full chatbots, menus, buttons and automatic replies.
  • Integrations: the app cannot connect to other software; the API sends order updates, OTPs and reminders straight from your CRM, store or app.
  • Cost: the app is free; the API charges per message for business-started messages (marketing, utility and authentication), while replies to customers within 24 hours are free.

When to stay on the app

If you are one person answering a few chats a day and you do not send bulk offers, the free app is enough. There is no need to pay for something you will not use.

When to move to the API

It is time to move when any of these is true:

  • Two or more people need to reply to customers from the same number.
  • You want to send offers or reminders to more than a few hundred customers.
  • Customers ask the same questions again and again and a bot could answer them.
  • You want order, payment or appointment messages sent automatically from your software.

Can I keep my existing number?

Yes. A number that is on the WhatsApp Business app can be moved to the API. Once moved, chats on that number are handled in your API platform instead of the phone app. Our team helps you move it without losing your number.
